Terms & Conditions

By booking any service with Pick Your Travels, the customer/agent agrees to the following terms and conditions. These terms are designed to ensure transparency, smooth operations, and clear understanding between all parties involved.


1. Booking Confirmation

  • All bookings are subject to availability at the time of confirmation.

  • A booking will only be considered confirmed after receipt of the required payment/deposit and written confirmation from Pick Your Travels.

  • Rates are subject to change until the booking is confirmed.


2. Final Quotation & Service Approval

  • All bookings will be honoured strictly as per the final quotation/itinerary shared and approved by the guest or travel agent.

  • It is the responsibility of the guest/agent to carefully review:

    • hotel details

    • room categories

    • sightseeing inclusions

    • transfer types

    • flight details (if applicable)

    • tours

    • tickets

    • meal plans

    • dates and timings

  • Pick Your Travels shall not be held responsible for any missing tours, activities, tickets, services, or inclusionsif they were not mentioned in the final approved quotation or if the guest/agent failed to verify the details properly before confirmation.

  • Any verbal discussions or assumptions will not be considered valid unless clearly mentioned in the final confirmed itinerary or quotation.


3. Pricing & Payments

  • Prices are subject to availability, currency fluctuations, supplier revisions, fuel surcharges, government taxes, and seasonal changes.

  • Full or partial advance payment may be required to confirm services.

  • Failure to complete payment within the specified timeline may result in automatic cancellation of services.


4. Cancellation & Refund Policy

  • Cancellation charges will vary depending on:

    • hotel policy

    • airline policy

    • visa policy

    • tour operator policy

    • supplier policy

  • Certain bookings may be:

    • non-refundable

    • partially refundable

    • non-amendable

  • Refund timelines depend entirely on supplier processing timelines.

  • Convenience fees, visa fees, insurance charges, processing fees, and service charges are generally non-refundable.


5. Travel Documents & Visa Responsibility

  • Guests are solely responsible for ensuring:

    • valid passport

    • visa requirements

    • travel permits

    • vaccination requirements

    • immigration compliance

  • Passport validity should generally be a minimum of 6 months from the date of travel.

  • Pick Your Travels shall not be responsible for:

    • visa rejection

    • immigration refusal

    • denied boarding

    • incomplete documentation


6. Hotel Policies

  • Standard hotel check-in/check-out timings apply unless otherwise specified.

  • Early check-in and late check-out are subject to hotel availability.

  • Special requests such as:

    • twin beds

    • adjoining rooms

    • smoking/non-smoking rooms

    • floor preference

    • meal preferences

  • are not guaranteed unless confirmed in writing.

  • Hotels may require refundable security deposits at the time of check-in.


7. Tours & Transfers

  • SIC (Seat in Coach) services are shared services and operate on fixed schedules.

  • Private transfers/tours operate as per confirmed timings only.

  • Guests are required to report on time at pickup points/lobbies/meeting points.

  • Delays caused by guests may lead to missed services without refund.

  • Certain countries/destinations may not provide hotel pickup for SIC tours, and guests may need to reach designated meeting points at their own expense.


8. Flight & Transportation Disclaimer

  • Pick Your Travels acts only as a booking intermediary for airlines, hotels, cruises, transport providers, and other suppliers.

  • We are not responsible for:

    • flight delays

    • flight cancellations

    • schedule changes

    • missed connections

    • baggage loss

    • transportation disruptions

  • Additional expenses arising from such situations shall be borne by the guest.


9. Force Majeure

Pick Your Travels shall not be liable for failure or delay in performance caused due to circumstances beyond reasonable control including but not limited to:

  • natural disasters

  • floods

  • earthquakes

  • political unrest

  • war

  • terrorism

  • strikes

  • pandemics

  • airline disruptions

  • government restrictions

  • weather conditions

Any additional expenses arising due to such situations must be borne by the traveler.


10. Travel Insurance

  • Travel insurance is strongly recommended for all travelers.

  • Guests are advised to obtain coverage for:

    • medical emergencies

    • cancellations

    • baggage loss

    • accidents

    • trip interruptions


11. Liability Disclaimer

  • Pick Your Travels acts only as a travel planner and intermediary between guests and third-party suppliers.

  • We shall not be liable for:

    • injury

    • loss

    • accident

    • theft

    • delay

    • dissatisfaction caused by third-party service providers

  • All services are subject to the terms and conditions of the respective airlines, hotels, transport providers, cruise companies, and tour operators.


12. Amendments & Changes

  • Any changes requested after confirmation may incur additional charges.

  • Amendments are subject to supplier approval and availability.


13. Pricing Errors

  • In case of any human, technical, or system pricing error, Pick Your Travels reserves the right to revise or cancel the booking before confirmation.


14. Communication & Approval

  • Any confirmation received via:

    • email

    • WhatsApp

    • written communication

  • will be considered official approval of the quotation and services.


15. Acceptance of Terms

By proceeding with payment or booking confirmation, the guest/agent acknowledges that they have read, understood, and agreed to all terms and conditions mentioned above.
